Position Description

Bilingual Executive Administrative Assistant

- Executive Office -

(1) Permanent full time, 35-hours/week, non-unionized position

The Executive Administrative Assistant performs administrative/secretarial support services to the Executive Director,Board of Directors and members of the Executive Office. In this capacity the executive administrative assistant’s responsibilities include:

 Routine administrative duties, including statistical reports, record keeping, preparing draft correspondence, coordinating meetings and processing serious occurrence reports;

  • Liaising with officials of the provincial government, community agencies, and members of our Board of Directors and other collaterals;  
  • Providing administrative support to the President of the Board, attending and preparing minutes of Board and various Board Committee meetings, and organizing board meetings including room set up, meal selection and preparation of board materials;
  • Supporting projects under the direction of the Executive Offices including preparing and maintaining a tracking system of all communication projects, publications, and promotional items;
  • Maintaining files, on-line policies and procedures, updating documents related to new legislation/regulations or Ministry Directives and lists of applications and renewals of Society Commissioners of Oaths.


  • Community College Diploma in business administration or equivalent training in secretarial skills;
  • Minimum five (5) years’ experience at an executive secretary level with demonstrated abilities and knowledge in office procedures;
  • Superior oral and written communication skills in both official languages;
  • Demonstrated knowledge and experience with a variety of computer software including Word, Excel, PowerPoint and Lotus Notes;
  • Strong interpersonal, organizational and time management skills;
  • Excellent capacity to work independently as well within a team setting;
  • Demonstrated ability to exercise tact, discretion, confidentiality and diplomacy;
  • Demonstrated knowledge, skills and abilities to work effectively in cross-cultural situations.

 Hours Of Work:     

The core business hours are Monday to Friday, from 8:30 a.m. to 4:30 p.m., however, the Executive Administrative Assistant is expected to work flexible hours outside of core business hours.

 We offer a salary range of $49,547 to $63,354, commensurate with skills and experience. As well we offer a comprehensive benefits package (pension plan and health & insurance benefits) and generous leave provisions (such as 4 weeks of vacation after 1 year of service).
